Role:

Directs and coordinates the daily operations of the regional organization. They are responsible for ensuring and improving the performance, productivity, efficiency and profitability of the department and organizational operations through the provision of effective methods and strategies

Reports to:

Operations Director

Direct reports:

Crew Manager

Team Management:

• Directly responsible for the management of the regional scheduling team to ensure deadlines are being met

• Allocating and overseeing daily workloads for scheduling and booking coordinators

• Monitor the performance of your team alongside Line Management duties • Set development plans and goals for your team and monitor this regularly

Scheduling and Resource Management:

• Prioritize workload and management of emails

• Scheduling crew and staff

• Manage the day to day allocation of resources and overseeing daily workloads for scheduling and booking coordinators

• Managing the accreditation process for jobs/projects

• Ensuring all job/project information is communicated correctly.

• Planning resources in advance for future bookings ensuring accreditation for events is complete.

• Ensuring we have correct resources and skillsets available to cover upcoming jobs.

• Communicate with recruitment team to provide recruitment targets ensuring suitable resources for upcoming projects/workload.

• Problem-solving and rescheduling as project changes require additional resources

• Continuously forward planning to identify any shortfalls, problems that may arise and implementing plans to overcome these

• Maintain an overall knowledge of the crew skillsets

• Management of Crew availability, including email availability inbox

• Database management

Vehicle Allocation Management:

• Coordinate/scheduling of transport and vehicle logistics

• Ensure the management and allocation of drivers with schedulers using approved driver list

Uniform/Equipment:

• Manage the distribution of tools and equipment to the crew

• Oversee the management of stock

Database & Systems:

• Managing the staff databases ensuring all information is correct and kept up to date

• Identify efficiencies and issues with the scheduling system/processes and implement any changes Continue to review process’ to improve working practices

Out of Hours support and Rota:

• Contactable to support with out of hours issues

• Part of the out of hours Rota

Clients:

• Develop client relationships via networking events and site visits

• Represent the company at client meetings and trade exhibitions

• Arrange and attend meetings to generate new business

Training and Monitoring:

• Liaise with the Crew Manager to ensure Crew uniform, attendance and performance are continually monitored and kept to a high standard

• Work with crew managers and Crew Chiefs to identify Crew for development and promotion and also to identify any Crew who are falling short of expected standards

• Ensure feedback from Crew Chiefs received verbally is acted upon and shared with Crew Managers

Crew Recruitment:

• Have a proactive involvement in the sourcing of new crew

• Liaise with the Recruitment department to ensure we have the correct amount of active crew needed

• Ensure that all recruitment administration, including the uploading of documents onto CRM is complete in a timely fashion

Other:

• Attend client meetings, trade exhibitions, networking events as a Showforce representative when required

• Report to senior management and assist with the development of long-range plans/goals for the business

• Actively assist in the setup of new branches of Showforce

• Being available to support with recruitment and/or project needs across all UK and ME Showforce offices Identify expansion of existing services or new service channels that the company could offer to new and existing clients

Environmental Responsibilities:

• Report any environmental incidents

• Use business resources efficiently (paper, heating, lighting etc.)

• Minimize waste and recycle where facilities exist

• Comply with any communicated client environmental procedure

This is a full time role, based within Showforce’s London Office.
